Enhancement Overview:

This release introduces better control and transparency across driver, carrier, and billing workflows, including driver availability tracking, trailer number updates, and in-app compliance document access. It enhances financial accuracy through carrier invoice number capture, load-level associations, and improved master invoice PDFs, while also adding structured carrier notes and configurable visibility of location contact details on rate confirmations.

Driver Availability Management

A new setting “Enable Driver Availability Section” has been added under Global Settings > Load.

When this setting is enabled, drivers will see a “Submit Availability” option in the mobile app.

Drivers can submit their availability by entering a date range and time, and can edit their availability at any time from the app, even after it has been approved.

On the LoadStop side, a new Driver Availability module is available from the top-right Driver Submissions (man icon).

From here, users can view all driver-submitted availability (grid and calendar view), manually add availability on behalf of drivers, and approve or reject submissions. Availability records are clearly color-coded in the grid: submitted (yellow), approved (green), and rejected (red).

Availability added manually from LoadStop is automatically approved, while availability submitted from the driver app first appears as submitted and moves to approved or rejected based on dispatcher action.

Drivers receive mobile notifications when their availability is approved or rejected.

When dispatching a load and this setting is enabled, the system checks the driver’s availability against the load schedule. If no approved availability exists, or if the load dates do not align with the driver’s availability, the dispatcher is notified.

Dispatchers can still proceed by adding notes, which will be recorded in the load’s Exceptions tab.

When manually adding a driver availability, If a new availability entry overlaps with an existing one, a confirmation window appears, and upon confirmation the new availability overrides the previous record.

Driver availability is also visible in FleetOps on the calendar view by enabling the new “Show Driver Availability” toggle.

A permission-based control has been added to define which users are allowed to approve or reject driver availability submissions, ensuring proper access and control.

Carrier Invoice Number Capture & Load-Level Association

To make carrier billing faster and smoother, the system has been enhanced to capture the Carrier Invoice Number at the same time the carrier invoice document is uploaded. When a user uploads a document and selects the document type as Carrier Invoice (either from Actions, Load Docs, or within the load), an additional field will now appear on the same screen to enter the Carrier Invoice Number immediately.

This removes the need to remember or recheck the document later.

The Carrier Invoice Number entered during document upload will be directly linked to the load and its relevant split. The same field is also available in the Load Dispatch modal, and both fields stay in sync.

Whether the user adds or edits the Carrier Invoice Number from the dispatch modal or during document upload, the information will automatically reflect in both places.

Additionally, the "Settlement Carrier Inv. #” is now visible in the pending bills as a dedicated column next to each load. This ensures every load within a settlement has a clear carrier invoice association and its editable upon click.

For settlements containing multiple loads, each load will carry its own Carrier Invoice Number, which will also reflect correctly on the settlement. Users can also edit the Carrier Invoice# from here by clicking it.

Overall, this enhancement reduces repetitive steps, minimizes errors, and ensures a clear one-to-one association between loads, carrier invoices, and settlements.

Carrier Profile Notes Enhancement

The Carrier Profile now supports multiple note types to help teams manage carrier-related information more effectively. Users can add notes directly under the Notes section by selecting a note type at the time of entry. Available note types include Dispatch Notes, Compliance Notes, and Accounting Notes.

Each note is saved with a timestamp as newly added notes will be shown at top, allowing users to view the complete history and update or amend notes whenever required.

Rate Confirmation – Location Contact Information Control

A new setting has been added to give users control over whether location contact details appear on the Rate Confirmation document. By default, this setting “Show Location Contact Information” is enabled, meaning the system will display the phone number and email address (if available) for pickup and delivery locations on the rate confirmation.

If this setting is turned off, the system will hide all location contact information from the rate confirmation, including phone numbers and email addresses.

This helps prevent drivers or external carriers from directly contacting shippers or locations when it’s not desired.

Master Invoice PDF Enhancements

The Master Invoice PDF has been enhanced with new configurable options to improve clarity and flexibility. Users can now display the shipment (pickup) date on the master invoice, taken from the first pickup stop of the load, by enabling a setting “Show shipment date on Master invoice PDF”

Additionally, new settings ”Only show invoices summary on Master invoice PDF” allow users to control the content of the Master Invoice PDF by choosing to show only a summarized invoice page, without displaying the individual invoice pages themselves.

and another setting “Include supporting documents on Master invoice PDF” for optionally including all supporting documents from individual invoices.

Driver Update of Trailer Number and System Notification

A new setting “Allow drivers to update the trailer# from the Mobile App"” allows drivers to update the trailer number directly from the mobile app after load acceptance.

When any trailer number change made by the driver it will automatically sync to the TMS, with notifications shown to users both on a dedicated screen and via the bell icon for full visibility.

Compliance Documents in Driver App

A new “Show on Driver App” toggle is available in document setup—>category, allowing users to control which Driver, Vehicle, or Trailer documents are visible in the app.

In Driver App, navigate to menu →Compliance , to view compliance documents for driver, vehicles, and trailers directly from the app. This enables drivers to quickly present required documents during roadside inspections.

Note: Driver documents are always accessible, while vehicle and trailer documents are shown based on the vehicle and trailer assigned to the driver’s active load.
